
What Do We Post on the Club Calendar?
- W PA Bicycle Club ride. What makes a club ride? See the bottom of the post.
- Rides of other clubs that want to post on our calendar. For example, Women@Work is posting on our calendar.
- Third party rides or events a club member is recommending BECAUSE THEY PLAN TO ATTEND.
- Pittsburgh or regional COMMUNITY rides of interest to the Pittsburgh or regional bicycling communities.
How Do You Post?
We have several mechanisms to post rides on the club calendar. Most ride leaders will post via menu items on the main club webpage as show above. Select from the menu “Resources >> For Ride Leaders >> Add Ride”. This brings up this page:

EVENT TITLE: Provide a descriptive name to the ride or event.
EVENT DESCRIPTION: Provide a description of what to expect on the ride. Is it ROAD, GRAVEL, RAIL-TRAIL, or ? Is it FAST or SLOW? DROP or NO-DROP? How many miles are you planning to ride? Any stops? What is different or interesting about this ride?
EVENT TIME & DATE: The start time and of of the ride or event. Note that you can also create a ride series by clicking on SCHEDULE MULTIPLE EVENTS.
EVENT IMAGE: Feel free to use your own photographs for rides you lead. You are also welcome to use any photo you find on our website or Facebook page. In general, DO NOT take photos from elsewhere on the internet that may be copyrighted. ONCE EXCEPTION IS IF YOU ARE POSTING A THIRD PARTY EVENT. If you are posting a third party event, it is reasonable to use a photo from the event’s advertising materials (website, etc).
EVENT CATEGORIES: We use event categories to explain what type of ride or event to expect. We have some categories predefined. Hover the mouse over this box and the list shows up. You can add more (please do so in moderation). The predefined categories are:
- Club events
- Gravel riding
- Meeting
- Online
- Road riding
EVENT TAGS: We use event tags to clarify if needed if a ride or event is a “Club Ride” (i.e. sponsored by Western PA Bicycle Club), or a “Third Party Ride” (sponsored by someone else). From a club perspective, this box clarifies if the ride is covered by our club’s ride liability insurance, or of ride liability insurance of a third party. Mention if you are posting a third-party ride BECAUSE YOU PLAN TO ATTEND, and would encourage other club members as well.
EVENT STATUS: Events can have the status of Scheduled, Cancelled or Postponed
VENUE DETAILS: INTERPRET VENUE AS START LOCATION. Identify the start location. Re-use venues (start locations) already defined when possible.
ORGANIZER DETAILS: Note that this field allows for multiple organizers. The field defaults with “Western PA Bicycle Club”, since we assume club members post our own rides. If it is not our ride, delete the default. Here are some organizing groups on the list so far:
- Western PA Bicycle Club
- Pittsburgh Randonneurs (which is an activity of the club)
- Team Decaf (which is an activity of the club)
- Post Ride Podcast
- Women@Work (which is a different club).
- Pittsburgh Major Taylor Cycling Club
- Sweetwater Bikes
- Trek Bicycle Robinson Township
- Venture Outdoors.
Note that the form allows you to Search or Add organizers from the same box.
When you add (or update) an organizer, be prepared to add:
- Organizer Name
- Phone number (if applicable)
- Website (mostly for third party organizers)
EVENT WEBSITE: If you are posting a third party ride like a charity ride or community ride of another club, put the appropriate website here.
ADDITION FIELDS:
- Ride Leader – While it may be redundant, this field can be used for a ride leader name without having to create a new organizer. This may make sense for a ride series, for example. Consider in addition to Ride Leader name, include their phone number as well.
- RideWithGPS – A link to the RideWithGPS (or other GPS reference) for the ride.
TICKETS RSVP: This section is labeled TICKETS, but we are using it to create RSVPs so the ride leader can see who signed up. Sections you need to be concerned about:
- Type: For this, use a SHORT BUT DESCRIPTIVE PHRASE THAT REMINDS PEOPLE WHAT THEY SIGNED UP WHEN THEY SEE AN EMAIL FROM IT. Try it for yourself by RSVPing after creating an RSVP.
- Can’t go: Particularly if you have a “usual group”, you can enable negative RSVPs as well.
How Is our Ride Calendar Implemented?
Our calendar is implemented with the WordPress PlugIn “The Events Calendar“. To get the full functionality we need, we use these plug-ins as well:
- Community events
- Community tickets
- Event Tickets
- The Events Calendar Pro.
What is a Club Ride for 2022?
A ride is a club ride for insurance purposes if:
- The ride is posted in advance on our calendar.
- The ride has an identified ride leader that is a member in good standing of the club.
- The ride is not sanctioned by RUSA or the ACP.
- The ride otherwise follows the restrictions of our LAB sponsored ride insurance (such as is not a race).
For clarity, it helps if you tag club rides with “Club ride” in the EVENT TAG section.
